*REMOVED FROM AGENDA* Consider action on a Resolution approving the purchase of ten (10) servers, 225 TB of usable storage, and virtualization technology from GovConnection, Inc. through OMNIA Partners Cooperative Contract No. R210402, in an amount not to exceed $563,899.00; authorizing the City Manager to execute all necessary documents; and providing an effective date.

BACKGROUND:

The Town of Addison follows a proactive IT lifecycle plan that calls for reevaluating servers and storage capacity every six (6) years to maintain performance, security, and reliability. Our current infrastructure, installed in 2019, has reached the end of its useful life and is increasingly unable to support expanded services, additional staff, and modern applications. Extended warranties on this equipment will soon expire, leaving the Town exposed to risks that could negatively impact service delivery and operational efficiency.

To address these concerns, staff obtained four (4) competitive quotes and chose GovConnection, Inc., which offered the best value based on price, compliance with state procurement standards, and the ability to deliver the specified solution with full warranty and support.The selected solution includes a hyperconverged infrastructure with ten servers, a total of 225 TB of usable storage, virtualization technology, and backup and replication software to ensure data protection, business continuity, point-in-time recovery, and real-time availability for failover.

This upgrade delivers:

High Performance & Scalability: The new infrastructure will provide the necessary performance and scalability to support future growth.
Enhanced Security: Advanced security features and ransomware protection to safeguard our data.
Disaster Recovery Readiness: Built-in failover capabilities will ensure that we are prepared for any disasters.

To minimize disruption, we will configure the equipment during weekdays and install it after hours or at weekends. The total cost of implementation, including hardware, software, professional services, and warranty, is $563,899. This upgrade aligns with the Town’s IT Strategic Plan and reinforces our commitment to providing reliable, secure, and efficient public services.

FISCAL IMPACT

This expense is budgeted in FY2026 Information Technology Equipment Replacement Fund.
