AGENDA CAPTION:

Consider action to approve a Resolution for an agreement with Simple View for website design services for the Visit Addison website; and to authorize the City Manager to execute the agreement in an amount not to exceed $58,900.

BACKGROUND:
The City Council recently approved a contract with Granicus for a new website for the Town’s page.  When the Town decided to change website providers for the primary page, staff also researched website providers that are specifically designed for DMOs (destination marketing organizations) and convention and visitors bureaus to replace the Visit Addison site. The Visit Addison website is currently a “microsite” on the Town’s main website.  
 
Simpleview has been serving DMOs since 2001 and 99% of its business is tourism related.  Not only does it provide website solutions, but it also offers an integrated customer relationship management (CRM) tool that will allow staff to better track and engage with meeting planners and groups visiting Addison, as well as with our hotels, restaurants, and attractions.  Simpleview currently works with 900+ DMOs throughout the world. Some local cities that use Simpleview’s services include Frisco, Grapevine, McKinney, Fort Worth, and Arlington.  
 
Some of the features on the new website will include: 
 
Partner Listings  
  • Dedicated landing page for every industry partner which can include images, text, amenities, Google map, website/social links, etc.  
  • Users may view listing results as a grid, list, or on a map.  
  • Partners (e.g. hotels, restaurants, attractions) can update their listings online via the extranet portal and submit for approval. 
  • Open Table will be integrated on the restaurant pages for users to make reservations directly from the website. 
Form Builder 
  • The ability to create and place various custom data collection forms (e.g., visitor guide requests) on any page of the website. 
  • Consumer form submissions that go directly into the Simpleview CRM website database.  
  • Visitor inquiry/form submission data that can be exported & leveraged for reports, including brochure fulfillment & creating mailing labels. 
 Blog Module 
  • Create blog posts with full WYSIWYG editor, embed code support and access to HTML.  
  • Associate metadata for search engine optimization (SEO) purposes.  
  • Create categories, authors, and tags to enhance organization.  
  • Provide guest access/guest blogging with an approval process before publishing. 
 Calendar of Events 
  • Display database-driven event listings submitted by the public, partners, or DMO.  
  • The ability to sort events using category filters and various data parameters.  
  • Events may be ranked or featured. 

The cost for the Visit Addison website design and CRM integration with Simpleview is $29,000 and the yearly license fee will be $29,900 for a total year-one cost of $58,900.  Simpleview has been determined to be the sole source provider of this proposed CSM/CRM website and destination management platform. 
RECOMMENDATION:
Administration recommends approval.
